Choosing billing software in India: a buyer's checklist
Feature lists all look the same. These are the questions that actually separate software you will still be using in three years from software you will migrate off.

Every billing product markets the same nouns: invoices, inventory, GST, reports. The differences that matter show up eighteen months in, when you have real data, real staff turnover and a real branch to open.
Ask about the exit before you ask about the entry
Can you export your complete data — masters, transactions, ledgers — in a usable format, on demand, without raising a support ticket? If the answer is qualified, the product is holding your business hostage. Ask this first.
Compliance is a moving target
GST rules change. E-invoicing thresholds move down. Return formats get revised. The relevant question is not "does it support GST today" but "who ships the change when the rules move, and how fast".
- Does the vendor track statutory changes, or do you find out from your CA?
- Are compliance updates included, or billed as customisation?
- How long between a notification and the feature shipping?
Test the unhappy paths
Any demo will show you a clean sale. Insist on seeing the messy cases, because that is where your staff will spend their time:
- A partial return against an invoice that was already partly paid.
- A cheque that bounces after the receipt was recorded.
- A payment of one amount settling three invoices.
- An interstate sale to a buyer whose GSTIN you entered wrong.
- A stock transfer between two branches with different price lists.
- Closing a day where the cash drawer is short.
Multi-business and multi-branch, early
Businesses grow in ways they do not predict. A second GSTIN, a warehouse, a franchise outlet. Products that bolt multi-entity support on later tend to leak data between entities or force you into separate logins and separate subscriptions. Check that isolation is a design property, not a setting.
Who answers the phone
Billing software fails at the worst possible moment — mid-rush, at month-end, on the last day of filing. Support responsiveness is a product feature. Ask what the actual response time is, in hours, on a working day, for a business-stopping issue.
The best billing system is the one your staff can operate correctly on their worst day, not the one with the longest feature list.
